The Challenge
This hospital was struggling to maintain current personnel records (e.g. job titles/position changes, promotions, terminations) because actionable changes were: a) Being recorded on paper instead of digitally; b) Not being recorded in a timely fashion; and c) Paperwork was being submitted to Human Resources (HR) solely via interoffice mail.
The Discovery
Boston BizTech discovered that because the HR team was not receiving the completed paperwork in a timely or consistent manner, there was not an efficient system in place to keep track of personnel record changes, thus HR could not readily access the information in order to answer questions about changes to an employee’s status and record.
The Solution
Boston BizTech architected cross functional department processes for electronic storage, transfer and notification of all relevant data required for the HR team to perform personnel action requests. We developed a database driven web application to be used by HR and the Hiring Managers. We also provided HR with the much needed functionality to manage the list of Employee Managers and their associated departments as a foundation for limiting Employee Managers access.
The Impact
A secure, digital platform was implemented and deployed for timely and accurate employee status changes to be processed and accessed. All requests for employment changes were then tracked, archived, and delivered to the responsible parties. As a result, a system of processes that would traditionally take days or even weeks to complete, subject to error and containing incomplete or missing data, was replaced with a platform that ensured all appropriate data was complete and ensured instantaneous delivery of information eliminating all manual processes.
